Privacy policy

How your personal data is processed when you book a stay.

Working template to be completed and reviewed by legal counsel before publication. Items in square brackets are to be filled in by the establishment.

Data controller

[Establishment name] is the controller of the data collected through this website. Contact: [email address].

The booking module is operated by the service studio, acting as a processor (Article 28 GDPR data processing agreement in place).

Purposes and legal basis

Your data is used solely to manage your booking: confirmation, reminder before your stay, schedule management, and collection of the municipal tourist tax.

The legal basis is the performance of the booking contract (Art. 6(1)(b) GDPR). No consent checkbox is required for this strictly necessary processing; no advertising cookies or trackers are set.

Data collected

First name, last name, email and/or phone number, language, and the details of the stay (accommodation, dates, number of guests, optional note). The “note” field is optional: do not enter any sensitive data in it (health, etc.).

A single strictly necessary cookie is used, for the establishment’s back-office session (none for widget visitors).

Recipients and transfers

Your data is accessible to the establishment and its technical service provider. Sub-processors, all within the EU: OVH (hosting), Brevo (emails).

No transfer outside the European Union takes place. Your data is never sold.

Retention periods

Customer and stay records: kept for the establishment’s history, then erased or anonymised upon request or at the agreed date.

Back-office access logs: automatically purged (90 days). Backups: 30-day rotation.

Your rights

You have the rights of access, rectification, erasure, restriction of processing and portability. To exercise them: [establishment email address].

You may lodge a complaint with the Belgian Data Protection Authority (APD/GBA) or with your national supervisory authority.
